2021-2022 REFUND POLICY

Refund policy

Given the unique and unpredictable circumstances surrounding the 2021-2022 season, the SMGHA will endeavor to provide some flexibility and understanding with respect to refund requests. Throughout the season, we will consider reasonable refund requests. Note that some fees are not refundable once a player has stepped on the ice for the first time, and the amount of any refund, if approved, may be prorated against the amount of ice time already used, training/instructor time already used, team apparel, and insurance fees.

Policy on reimbursement due to public health requirements

It is possible that we may experience changes to COVID protocols and/or vaccination requirements throughout the season. These changes may occur at the direction of provincial or municipal authorities, regional public health units or the OWHA. Throughout the season, if a player (and, for younger players, their guardian), does not meet the public health requirements to enter a facility or join a team for a sanctioned activity (e.g. practice, game), they are still responsible for all agreed team fees. During the season, we will not be reducing or reimbursing fees, either partially or fully, for any time missed due to an inability to meet public health requirements.

SMGHA Code of Conduct

All members of the SMGHA are expected to conduct themselves in a responsible manner, and observe all public health, OWHA, and facility polices at all times.

Our Code of Conduct, along with policies, procedures and rules outlined within all SMGHA/OWHA/Hockey Canada documents, identifies the standard of behaviour which is expected of all Ontario Women's Hockey Association (OWHA) and SMGHA members, including athletes, coaches, parents, directors, volunteers, staff, chaperones and others. Any breach of any policy, procedure, rule or other direction of the SMGHA/OWHA/Hockey Canada may result in disciplinary action, up to and including expulsion from all SMGHA events.

No refunds will be provided for any time missed as a result of such disciplinary action.

For Competitive Players

Once a player has been signed to a representative team, the coach and player are mutually committed for the year. Extenuating circumstances that result in a player leaving must abide by the following:

Player withdrawal
During the 2021-2022 season, a written request to withdraw a player (and request a refund) must be made in writing to the SMGHA Executive. Player registration fees shall be refundable in such amount as the Executive determines to be fair and reasonable in the circumstances, and the amount of the refund may be prorated against the amount of ice time already used, training/instructor time already used, and insurance fees.
Player releases
  1. A player cannot be released from a team after the player has signed the offer letter and the deposit is paid, without approval from the Executive. A written request must be made to the VP Rep in order to be considered by the Executive.
  2. Should the Executive approve the release, and the date of release is prior to December 1st, player registration fees shall be refundable in such amount as the Executive determines to be fair and reasonable in the circumstances. The amount of the refund may be prorated against the amount of ice time already used and insurance fees.
